Reunion Advisory # 8

Dear All,

Just a rundown of what transpired/the agreements reached during our batch meeting on Saturday, October 18 at Dra. Pinky’s clinic:

1. Funds update. As of now we have P213,870 in the bank. The raffle generated P141,900+ in total sales less and net profit is P74,000+. May collectibles pa amounting to P18,800 and the group agreed na unless there is a valid reason for not returning the unused/unsold tickets, padagos pa man gihapon an paniningil ni tesorera.

2. We received a solicitation letter from Mrs. Gallinera for props of the drum corps. It was agreed that since we still have a long, long list of projected expenses for the reunion, mahatag anay kita nin P2,000 and kun may sobra na money after saka ta na lang dagdagan.

3. Since we still need additional funds, Patrick broached the idea of coming up with another fund-raising activity. Options raised were: beer plaza, garage/yard sale, bingo socials, raffle (smaller prices only) and caroling. The group agreed na mag-carol since it won’t entail gastos. Para mapakay-ad man diyot an mga balag na boses, may practice on November 22, 29 and December 6. The caroling will be on December 12, 13 and 14 and December 19, 20 and 21. Attire is any Batch 84 t-shirt and Santa Claus cap. Sa mga mairintra reminder daw na dili na magkaon malangsa batog niyan.

4. T-shirts. Dra. Nonsol will be in Sorsogon on October 27 so we need to finalize the details. Initial suggestions are: for the parade, para medyo formal man an dating, may collar an shirts (predominant color: gray) and for the family day an wara na collar. Kun pwede kuta, pati spouses and kids naka batch 84 shirts. Kun dili na kita maka-solicit para didi, these will be made available pero kanya-kanyang bayad.

5. Family Day. It was suggested that instead of holding the family day on Easter Sunday, anano daw kun sa Holy Thursday na lang? Choices for venue are Fisherman’s Hut in Bacon (price range: between P12,000 and P15,000) or Paradise Resort in Pangpang (P20,000).

6. Ball. Naka reserve na tabi an provincial gymnasium para sa evening activity/ball. Thursday Family Day
Saturday Parade
Open House (c/o the SNHS Faculty)
Election of Officers (c/o the General Alumni Association)
Luncheon with teachers at the St. Matthew’s Hall
Evening Ball.

8. Token for the mentors. Suggestions include silver pens, umbrellas, t-shirts or mugs with the mentors’ picture. So far, wara pa man nagkahururunan kay we are still waiting for suggestions from the rest of the batch.

9. Project for high school. During the raffle, we noticed na wara nin public address system an high school. Saro ini sa mga gin-coconsider ta as our project for the school.

Gabos po ini open for suggestions. We would appreciate receiving feedback/ comments/suggestions etc. so that we can discuss these in the next meeting on November 22.

Reunion Advisory #7

Hi eden and the rest:

Instead of having a foundation which requires a paid-up capital of at least P1M, I suggest we simply organize an association which requires minimal paid-up capital ( last I heard was P5K only).

I agree with eden. By registering our association with the SEC, we will acquire a juridical (legitimate) personality to transact business so masosolve na an problem naton about the official receipt. However, we are not exempt from paying taxes for the earnings of our organization.

This proposal will entail documentation work nan may mga schedules for filing an SEC that we should abide with. But I guess we have more than enough time to do this if we are willing. We just need to tap the assistance of a lawyer, preferably one coming from our batch, to take charge of the documentation. Can somebody please contact atty joven laura?

Also, since eden is already saddled up with the souvenir program (which is no small task), I suggest somebody else from the sorsogon chapter handle this registration with the assistance of a lawyer to enable eden to focus on her task. May I hear from our President Patrick about this?

About the logo, there’s also another talent that we can tap, aside from Bober. Paging LUMENNNNNNNNN! I’ll try to do a logo also, feel free to accept or reject it (hehehe).

The rest of the members of the e-group, KNOCK KNOCK! Harain na tabi kamo? Daragos na tabi kamo didi sa iristoryahan ta. The rest needs your support, encouragement and contributions (ideas, suggestions) very badly this time, whether makaauli kamo or dili (kay ako ngani di pa sure kay kamimigrate lang namon sa canada). Here’s wishing “SAMA-SAMA TOGEDER” kita, come high mountains or deep waters, in sickness and in health, hanggang mairaos an reunion by April 2009. Come on now, your help will come in handy and will certainly be treasured by everyone.

Anyway, back to the SEC registration. Offhand, here are the facts that I gathered from research and my actual corporate exposure. For info of the rest, I used to be connected with a non-stock, non-profit organization under which proposed federation will fall, based on SEC regulations and the Corporation Code of the Philippines.

DEFINITION:
Non-stock Corporation - organized principally for public purposes such as charitable, educational, cultural or similar purposes and does not issue shares of stock to its members. No part of its income is distributable as dividends or interests to its members. Said dividends may be used in furtherance of the purpose for which the corporation was organized.

REQUIREMENTS:
1. Name verification slip (dapat may 30-day reservation with the SEC)
2. Articles of Incorporation and By-laws
3. Affidavit of an incorporator or director undertaking to change corporate name
4. List of members, certified by the Corporate Secretary
5. List of contributors and amount contributed certified by the treasurer
Note: Items 3, 4, and 5 need not be submitted if already stated in the Articles of Incorporation
An articles of incorporation or by-laws madali lang yan gibuhon kay may pro-forma form na ina sa SEC.

STEPS IN THE REGISTRATION:
1. Verify/reserve proposed name with the Name Verification Unit.
2 Come up with the Articles of Incorporation and By -laws in accordance with the Corporation Code.
3. Deposit paid-up capital / contribution
4. Present 6 sets of the accomplished forms and documents for preprocessing at the SEC.
5. Pay the filing fees.
6. Claim the Certificate/License from the Releasing Unit, Records Division.

Once we are granted the Certificate of Incorporation, everything will be easy for us.

FEES
A minimal amount of P500 for the registration and another P500 for the Articles of Incorporation and By-laws.

Reunion Advisory # 6

PARA SA INTIRO:
Ini tabi na projection na hinatag ni panoy about the projected income from the souvenir program, this is based on the premise that all advertising pages will be sold. this could go higher and lower depending on the ad spaces that we solicit so we are encouraging everybody to make the effort to solicit an advertisement.

As the persons in charge of the souvenir program committee, an habol mi lamang is to raise enough money to shoulder the printing cost na lain ta na pagkukuwaon sa bulsa ta or sa pondo san batch. pero kun makakuwa kita additional funds from selling advertising space, why not?

PRICES:
Medyo shocking talaga an prices san premium pages (which is P30,000 on average) kun sa bulsa ta ini pagkukuwaon. pero an target advertiser ta sadi mga companies who can afford to buy it. these are companies who advertise in a 30-second television ad for half a million pesos or for one simple newspaper ad for P200,000 per day.

from experience, pirmi matawad an mga companies, so kaipuhan hataas an una mo na presyo. then it will eventually lower as the negotiations proceed.

as for the other pages, which is priced at P5,000 each, this is also targeted primarily for corporate ads of companies with lower budgets but we know for a fact that many of our classmates abroad and here in manila are willing to donate up to that much or up to $150 for the reunion. so naisip namon na instead of just donating money directly to the reunion fund mas mayad na ini na tagan man sinda sin option to buy an advertising space instead of plainly getting nothing from their donation.

but this is not to discourage everyone from giving to the fund directly. option lang tabi ini. as panoy has pledged, nag-commit siya to buy a full page ad in the souvenir program (P5,000), to buy P10,000 worth of raffle tickets and to donate another P10,000 directly to the fund.

for those who cannot afford to give that much, no pressure please. intiro na contribution san batchmates ta whether big or small, in cash or in kind, will be appreciated and valued. burulig kita, each to our own means and ability, para mairaos ta ini na pag-host sin reunion. i understand na baga an makaaalo kun saday lang an mahahatag compared sa iba, pero lain kita dapat mag-compare. an importante nakahatag kita sin makakaya ta. pasensya na tabi because we need to announce here all the pledges/donations maski saday lang na amount because we need to be transparent. kaipuhan ta magin accountable sa intiro kun diin hali an kuwarta nan kun diin napakadto up to the last centavo.


PRINTING:
As of now, nagcacanvass pa kami ni mon sin printer. once na na-finalize namon kun pira an aabuton sa printing cost, we can probably come up with discounted rates for the members of the batch who would like to buy 1/4 or 1/2 pages. But we will retain the P5,000 price for the full page advertisements.

Reunion Advisory # 5

Dear All,

Patrick, Nena, Pinky, Bunx and I met last Saturday at Pinky’s clinic to discuss initial fund-raising activities. It was agreed na an pinakamadali gibohon is a raffle. The plans thus far:

• There will be one major prize (Yamaha XRM motorcycle) and 10 minor prizes
• The shortlist of minor prizes: 14” TV, water dispenser, portable DVD, rice cooker, pressure cooker, blender, waffle/sandwich maker, oven toaster, microwave, electric fan, gas stove, tower radio/CD player
• An initial run of 1,500 tickets priced at P100 each will be printed (1,500 x P100 = P150,000.00)
• Cost of prizes will be taken from ticket sales (target budget for prizes is P80,000)
• The tickets will be distributed to at least 50 Batch 84 members (30 tickets each) who shall take charge of the disposition.
• Tickets will be out by end of May/first week of June.
• Raffle draw is on September 20 at Jane’s Restaurant or at a radio station (most probably DWFA)

As of today (May 5) Patrick has already canvassed the cost of printing of tickets (P2,250 para sa 7cm x 11cm tickets) and has already inquired from the BIR kun may permit pa na dapat i-secure. Wara na man daw kaipuhan.

An mga dapat (pa) gibohon:

• Canvass cost of prizes (c/o Allan Labitag/Teddy Hamor)
• Inquire from the motorcycle dealers if we can reserve the unit tapos bayadan na lang once the ticket receipts are in (End of August or first week of September)

Reunion Advisory

Hi classmates. I joined the chat last Saturday re: updates on batch reunion and had volunteered to post the details of our conversation. I say conversation because they were simply explorations of options and suggestions subject to confirmation, validation and comments by the rest of the batch. The others who joined were Allan, Nena and Patrick.

We basically talked about the funding problem of the batch. Nena reported that no specific commitments on pledges have been made yet. Everyone agreed that it would be good if the generous and able amongst us can donate but we cannot push it down on everyone's throat. Hence, the next option is to do some fundraising activities as we cannot completely rely on the pledges. Some of the ideas/suggestions that we explored are the following:

a. raffle of prizes - tickets will be distributed for individual selling at reasonable rates. Distributed tickets are considered sold. Commission will be given (say 10%) of total booklets sold and the top seller shall also be given incentives.
b. beer plaza/bingo socials
c. cock derby

The activities shall be prioritized based on cost-benefit or may be combined to ensure maximum earnings. However, funding is required to jumpstart the activities. Hence, whatever available cash in bank we have and the reunion dues that are being collected yearly shall be used to finance the activities.

To ensure maximum attendance, the Sorsogon team will coordinate with the SNHS office to secure the old addresses of graduates for mailing of letters. It is assumed that even if they are no longer residents of the area, their parents or siblings can forward the letter to them wherever they are.

Patrick and Nena will be presenting these suggestions to the batchmates during Patrick's birthday on May 9. Hopefully, concrete plans of actions complete with deliverables and timetables would have been finalized by then. Monthly meetings to measure progress of programs against goals shall be held thereafter.

Please favor the batch with your comments and suggestions. Several heads are definitely better than few.

Reunion Advisory 3

Hi batchmates!

Patrick and I attended a meeting called by the Dr. Gino Ables, vice-president of the General Alumni Association. Also in attendance were Ms. Blanca Rempillo (SNHS Principal), Elvie Gajo Arevalo (Batch 58) and Maritel Gerona, Mabelle Jestre and Gina Hayag of Batch 83. Basically the meeting was a sort of evaluation of this year’s homecoming activities tapos may mga suggestions man an older batches that we might want to consider daw for next year’s general homecoming activities.

A. Registration

1. Apparently saro daw na weak point an registration. This year, only 181 alumni registered. Reasons for this are a) most were not aware that they were supposed to register and b) namahalan daw sa P50 registration fee. Whatever amount is generated during the registration goes to the host batch palan as counterpart san GAA. Also, there was a confusion as to the registration fee kay in previous homecomings P20 lang.

2. We need to decide if we will maintain the P20 registration kay an nag-suggest man lang daw na taasan an principal. Patrick also said na we can donate the proceeds to the GAA para may funds an association. Right now sabi ni Dr. Ables, they are operating on a zero budget.


B. Program of Activities (AM)

1. Printed copies of the program of activities should be distributed at least a week in advance para aware an alumni. The program of activities should also be posted in a conspicuous area during the reunion day.

2. The GAA agreed that there would be no speeches and no politicos. The golden jubilarians particularly objected to this year’s guest of honor’s longish speech na makakatungka man daw talaga. Although sabi san Batch 83, unavoidable daw na yadto si Congressman kay naghagad sinda nin solicitation for the school.

3. Amo ini an proposed flow of activities:

a. Opening Ceremonies
Flag-Raising
Prayer
Short message from SNHS Principal (during which she will invite alumni to the open house/exhibits after the parade).

b. Parade (We need marshals for this to make sure na dili putol-putol an parade.) After the parade, we proceed to the main building. )

c. Exhibits/Open House (We will have to coordinate with the school administration regarding this. May suggestion man na magtinda souvenir items/pili candies/arts and crafts but dili pa sure kun sin-o an ma-manage sadi: kun an school admin or saaton pa naka-assign)

d. Business Meeting (Election of GAA officers. This year, this did not materialize kay wara na attendees so an officers are in a hold-over capacity. An concern is how to entice other alumni to attend para maging active an association).

4. We can forgo snacks after the parade except an para sa drum corps, street dancers, police, etc. Dili man daw nag-eexpect an alumni nin snacks. Or we can set up a booth where we can sell water/refreshments.


C. Alumni Ball

1. Again, no long speeches and no politicos. No long programs as well kay an tuyo man talaga san attendees mag barayle.
2. It was suggested na early on, barayle na anay (mga 2 or 3 songs) followd by one or two numbers sa program and then barayle na ulit and so on.
3. We can cut down on expenses by doing away with the snacks. Suggestion na igwa ulit booth where attendees can buy drinks/light snacks.
4. We can also forgo printed invitations



D. Other Matters

1. Suggestion san GAA na ibahon na daw an sistema na an silver jubilarians amo an nagsasagot san expenses for the whole affair. Other jubilarians are also willing to shell out contributions daw kaya lang they are just waiting to be asked. We need to coordinate with Golden Jubilarians (Class 59) and ask them if they can help out with the expenses. We have to present our plans along with projected expenses para ma-present man san iba na jubilarians sa batchmates ninda.

2. According to the principal, the school got a letter from the “religious” requesting that the homecoming be scheduled on Easter Sunday kay supposedly period of mourning pa kuno an Black Saturday. But since amo lang ini an time na yaradi an alumni, the GAA decided na as is pa man gihapon an schedule.

3. The GAA is planning to come up with an e-newsletter to generate awareness para sa activities. Naghahagad si Dr. Ables san mga e-mail addresses san batchmates ta but sabi ni Patrick ipaisi man anay saiyo if you are willing to subscribe to the e-newsletter.

Reunion Advisory #2.

Dear Classmates,

I am writing you this e-mail in behalf of the Sorsogon National High School Class 1984.

As you probably know, our batch will be next year's host to the SNHS General Alumni Homecoming. In line with this, we need to raise money for the affair, which include expenses for the traditional Black Saturday Parade, the Alumni Luncheon, the Grand Alumni Ball and the Family Day Activities on Easter Sunday.

Reunion Advisory #1

2009 ALUMNI HOMECOMING PROGRAM OF ACTIVITIES

DAY ONE - BLACK SATURDAY


7 a.m. - Registration (SNHS Grounds)


DETAILS:

1. All Batch members who will join the parade need to register. The registration committee is composed of the following:

Chair: Ma. Fe Dollente-Fortades
Members: Jenny Deladia-Latosa, Luisa Guerrero-Nieves, Elena Jamisola-Dagnalan


After registration, they will get the following:

1. T-shirt/Caps/Name Tags
2. Alumni Kit (which contains the following):

a. Program of Activities (Saturday and Sunday)
b. Invitation to the luncheon (after the parade)
c. Formal Invitation to the Alumni Ball (evening)


The committe on invitations is composed of:

major responsibilities:

1. content san program of activities for the batch for 2 days. coordination with the batch '84 officers and other committee chairmen needed before finalizing the program.
2. for the invitation for the Alumni Ball, coordination with the alumni association, the provincial gymnasium and the officers of the golden and diamond jubilarians needed.
2. scout for a printer
3. design of the invitations and program activity sheet. kaipuhan sunod ini sa theme san reunion ta.
3. supervise printing
4. turn over to the registration committee the day before the parade.

PROJECTED EXPENSES:


A. Supplies for the registration committee (ballpens, pentel pens, masking tape, bond paper, stickers, etc.) = P1,000
B. Printing of Program of Activities/Invitation to Lunch - 100 pieces @ P20 each = P2,000

(Ini tabi will serve as pass for the lunch, which is exclusive to Batch members and our former teachers)

C. Printing of formal invitation to the Alumni Ball - 200 pieces @ P50 each = P10,000

(Aside from batch members, we need to issue invitations to the alumni association, the members of the batch celebrating the 50th and 60th year, former teachers, etc.)

D. An Tshirt/caps (According to Patrick, Gerardo Nonsol (who chairs the committee) will take care of this. May nag pledge pa man na iba to help in the expenses for this such as Wilma Elpos.

8:00 a.m. - PARADE PROPER (Around Town)


DETAILS:


1. We need to print around 70 pieces placards for each batch joining the parade (1940-2009). Puede tabi cartolina lang na may lettering or puede ipa-print sa cloth. An budget sadi depende sa makukuwa ta na contribution from each one of us. We need to put up streamers and banners sa SNHS and all over town. Ma-tap kita sin corporate sponsors to donate streamers.

3. We need to distribute the souvenir program during the lunch. 100 copies lang an initial na plano ipa-print. pero lain ko pa aram an total printing cost. i will be able to update you by the end of the month.

4. During lunch may short program. we agreed NO SPEECHES. makaraon kita, lain kita matururog. so better make it lively.

a. Class President to welcome the batch members and the former teachers.

2. Budget for the sound System = P13,000-P15,000

3. Talent fee for the band = P20,000

4. Transpo and food for the band = ?

5. Tables and chairs = P5,000

6. Stage Set up and lighting = ?

some suggestions:

a. We can all sing "Tomorrow" again. Amo ini an gin kanta ta san third year kita sa choral competition and christmas cantata. Suggestion ni marissa, this should include the kids (sinda na an nasa unahan, kita background na lang). Si marissa na tabi an ma-train san pagkanta. paging an mga members dati san choral group.

Who will attend: Batch members and their families
Expected # of Guests: 100-150

DETAILS:


1. Estimated fee for the venue for whole day activity = P15,000

2. Estimated food expenses morning merienda, lunch, and afternoon snacks P400 each for 150 persons = P60,000

3. Dapat siguro igwa sin games para may activity for the whole family. Maski toys lang for the kids and some stuff like mugs or pens for the adults an prizes. Estimated cost of prizes for the games = P5,000.

4. Let's put up a committee for the family day games. sinda na an mag-asikaso san pakanam nan san pagbakal san mga prizes. it's the work of one group.

5. Siguro another group should handle the food for the family day kay maghapon hanggan gab-i na sin saturday sin kapakaon an committee on food ni rudy. pahuwayan ta man sinda. another group should handle the food requirements on easter sunday para sira rudy makapahuway nan enjoy man. ini suggestion lang pero kun ok lang ina kara rudy,

NOTE: Ini tabi na projected expenses, based mostly sa expenses san batch '83 and on current prizes. it's a year to go, we should have provision for prize increase. So realistically, we are looking at something like P300,000.

According to Patrick igwa kita sin around P43,000 sa bank account ta. this is mostly contribution from those who regularly attend the yearly reunions nan san mga padara san iba ta na classmates from abroad. So, technically speaking we need to raise P200,000-250,000.

for example, if you want to donate prizes for the games, or you want to foot the bill for the photo exhibit or video. puede man tabi magprovide sin services such as basi may gusto mag volunteer to be the official professional photographer or magkuwa sin video instead of us hiring someone or a group for this.
